Clearing & Forwarding

Clearing & Forwarding

###1. Overview

The "Cargo" DocType is designed to capture and manage detailed information about individual cargo items within a shipment. This includes descriptions, quantities, packaging details, financial values, and relevant country information. By centralizing this data, the "Cargo" DocType facilitates efficient customs clearance, logistics management, and reporting. Each row in a document that utilizes this DocType represents a distinct cargo item or a set of identical cargo items with the same HS Code and packaging.

###2.Purpose:

The Cargo DocType is designed to capture detailed information about cargo shipments within the Clearing module. It serves as a central repository for tracking cargo details, aiding in logistics management, customs clearance, and reporting.

###3. Key Use Cases:

  • Import/Export Tracking: Recording shipment details for import and export operations.
  • Customs Clearance: Providing necessary information for customs documentation and procedures.
  • Logistics Management: Tracking cargo weight, volume, and packaging details for efficient transportation.
  • Reporting: Generating reports on cargo shipments for analysis and decision-making.

###4. Fields:

Field Name Description
Package Type Specifies the type of package or container used for the cargo (e.g., "Container 20FT").
Cargo Description A detailed description of the goods being shipped.
Weight (Kg) The weight of the cargo in kilograms.
Value The monetary value of the cargo.
HS Code Harmonized System code, a standardized numerical method of classifying traded products.
Number of packages The total number of individual packages or units within the shipment.
Volume (CBM) The volume of the cargo in cubic meters.
Currency The currency in which the cargo value is expressed (e.g., "TZS" for Tanzanian Shilling).
Container Number The unique identification number of the shipping container.
Seal Number The unique identification number of the seal affixed to the container for security purposes.
Cargo's Country of Origin The country where the cargo was originally produced or manufactured.
Trading Country The country with which the trade is being conducted.
Country Last Consignment The last country from which the cargo was shipped.

###5. Additional Notes:

  • Required Fields: The fields marked with an asterisk (*) are likely mandatory fields that need to be filled in.
  • Editing Row #1: The form indicates that the user is currently editing the first row of cargo details.
  • Actions: The top right corner shows action buttons like "Insert Below", "Insert Above", "Duplicate", and "Move", suggesting the user can manipulate the rows of cargo details.

###6. How to Use:

  1. Creating a New Cargo Entry:
    • When adding a new shipment or related document, you can add multiple Cargo entries to represent the individual cargo items.
    • Fill in all the required fields, such as package_type, cargo_description, and value.
    • Provide additional information like hs_code, container_number, weight, and volume as needed.
  2. Viewing Cargo Information:
    • Cargo entries can be viewed within the context of the parent document
    • The list view provides a summary of the cargo details.

Example Scenario:

Imagine a shipment containing multiple containers of electronics.

  1. A new Shipment document is created.
  2. Multiple Cargo entries are added to the Shipment, one for each container.
  3. Each Cargo entry includes the container number, cargo description (e.g., "LCD Monitors"), HS code, weight, volume, and value.
  4. The trading_country and country_last_consignment are also specified.
  5. All this information is then available for customs clearance and logistics tracking.

The "Cargo" table in ERPNext addresses the pain point of scattered and inconsistent cargo information by providing a structured and centralized way to record essential details within relevant documents. This ensures data accuracy, streamlines entry, enhances visibility, facilitates compliance with regulations like customs by capturing HS codes and origin, supports better decision-making in logistics and costing, and simplifies reporting on cargo-related data.

###7. Troubleshooting (Common Errors and Resolutions)

Mandatory Fields Not Filled:

  • Error: When saving the parent document, the system may display an error message indicating that mandatory fields (Cargo Description, Value, Currency, Package Type) in the Cargo table are not filled. Resolution: Go back to the Cargo table and ensure that all mandatory fields in each row have been completed. Invalid Link Values:

  • Error: If you select a value in the "Currency," "Trading Country," "Country Last Consignment," or "Country of Destination" fields that does not exist in the respective master tables, the system may show an error. Resolution: Verify that the required currencies and countries are properly set up in the Currency and Country master tables. If a necessary entry is missing, add it to the respective master before selecting it in the Cargo table. Incorrect Data Format:

  • Error: Entering non-numeric values in "Weight," "Volume," "Number of packages," or "Quantity" fields can cause errors. Resolution: Ensure that you are entering only numerical values in these fields.

###8. What business process pain point does it help remove?

The "Cargo" DocType helps remove the pain points associated with:

  • Disorganized Cargo Information: Eliminates the need to manage cargo details across multiple documents or spreadsheets, centralizing all relevant information in a structured format.

  • Manual Data Entry and Errors: Reduces the risk of manual data entry errors by providing a standardized and validated way to record cargo details.

  • Inefficient Customs Clearance: Provides customs officials with clear and comprehensive information, streamlining the clearance process and reducing delays.

  • Lack of Visibility: Offers better visibility into the specifics of each cargo item within a shipment, aiding in tracking and management.

  • Difficulty in Reporting and Analysis: Facilitates easier generation of reports on cargo volumes, values, and types, enabling better business analysis and decision-making.

  • Communication Gaps: Provides a single source of truth for cargo information, improving communication and collaboration between different stakeholders (e.g., shipping agents, customs brokers, logistics teams).

  • Compliance Issues: Ensures that essential cargo information required for regulatory compliance is captured consistently.
