Introduction

The Lease Information report in the Property Management Solution module provides detailed insights into lease agreements, property types, rental amounts, service charges, and other lease-related information. This report allows users to filter leases based on property types and view all critical details related to lease agreements, including security deposits, rent, and service charge amounts.

1. Purpose of the Lease Information Report

The Lease Information report is designed to:

  • Display lease agreement details for properties.

  • Track rental and service charge amounts and their respective frequencies.

  • Monitor security deposits and agreement statuses.

  • Provide filtering options based on property type.

  • This report is essential for property managers, finance teams, and leasing officers to manage and monitor lease agreements and associated financial information.

2. Key Fields in the Report

The Lease Information report includes the following key columns:

Property Type:

  • Description: The type of property (e.g., residential, commercial).

Property:

  • Description: Displays the property name linked to the lease.

Lease No.:

  • Description: The lease reference number.

BHK (Bedroom Hall Kitchen):

  • Description: The number of bedrooms in the property.

Builtup Area:

  • Description: The total built-up area of the property in square feet.

Carpet Area:

  • Description: The carpet area of the property in square feet.

Unit Owner:

  • Description: The owner of the property.

Lease Customer:

  • Description: The tenant who signed the lease agreement.

POS Customer:

  • Description: The customer as listed in the POS system (if applicable).

Lease Date:

  • Description: The date when the lease agreement was created.

Lease Start:

  • Description: The start date of the lease.

Lease End:

  • Description: The end date of the lease.

Agreement Status:

  • Description: Indicates whether the signed agreement has been received ("Yes") or not (" ").

Stamp Duty Status:

  • Description: Indicates whether the stamp duty has been paid by the tenant ("Yes") or not (" ").

Security Deposit Currency:

  • Description: The currency in which the security deposit is maintained.

Security Amount:

  • Description: The total security deposit amount.

Rent Frequency:

  • Description: The frequency of rent payments (e.g., monthly, quarterly).

Rent Currency:

  • Description: The currency in which the rent is paid.

Rent Amount:

  • Description: The total rent amount.

Service Charge Frequency:

  • Description: The frequency of service charge payments (e.g., monthly, quarterly).

Service Charge Currency:

  • Description: The currency in which the service charge is paid.

Service Charge Amount:

  • Description: The total service charge amount.

3. Report Filters

The report includes the following filter to refine the data based on property types:

Property Type:

  • Options: Unit Type

  • Description: Filter the report by the property type (e.g., "Residential", "Commercial"). Selecting a specific property type will display leases for properties that match the selected type.

4. Usage

Generating the Report

  • Navigate to the Lease Information report within the Property Management Solution module.

  • Select the Property Type: You can select either Residential, Commercial, or any other property type listed under the Unit Type.

  • Click "Run" to generate the report based on the selected filters.
