Tool Item Set

Introduction

The Tool Item Set document type is part of the Property Management Solution module and is used to manage collections of tools or equipment sets, including their location, status, and count. This document helps organize, track, and manage toolsets across various locations, ensuring proper inventory control and reporting.

1. Purpose of the "Tool Item Set" DocType

The Tool Item Set DocType allows you to:

  • Track toolsets across different shelves and locations.

  • Monitor toolset status (e.g., In, Out, Lost).

  • Manage duplicate tool sets by linking them to original sets.

  • Organize and view toolsets efficiently through filters and list views.

  • Disable toolsets when they are no longer in use.

2. Key Fields and Definitions

The Tool Item Set document contains several fields that help track the toolsets:

Set Name:

  • Description: Name of the toolset, used for easy identification.

Shelf No.:

  • Description: The shelf number where the toolset is stored. Options include:

    • S1

    • S2

    • S3

Location No.:

  • Description: The specific location number (e.g., section, rack) for more precise placement of the toolset.

Status:

  • Description: The current status of the toolset. Options include:

  • In: The toolset is available in the storage location.

  • Out: The toolset is currently in use.

  • Lost: The toolset is marked as lost.

Duplicate of:

  • Description: This field links to another toolset, allowing you to mark a set as a duplicate of an existing toolset.

No. of Tool Items:

  • Description: The total number of tools in the set.

Disabled:

  • Description: This checkbox allows you to mark the toolset as disabled if it is no longer in use.

3. Document Management

3.1 Creating a New Tool Item Set

To create a new tool item set:

  • Navigate to the Tool Item Set document in the Property Management Solution module.

  • Click the New button.

Fill in the following fields:

  • Set Name: Enter the name for the toolset (e.g., "Basic Tool Kit").

  • Shelf No.: Select the shelf where the toolset is stored.

  • Location No.: Enter the specific location number (e.g., "A12").

  • Status: Choose the status of the toolset (In, Out, Lost).

  • No. of Tool Items: Enter the total number of tools in the set.

  • Duplicate of (optional): Link the toolset to another toolset if it is a duplicate.

Save the document to create the new toolset entry in the system.
