Introduction
The Security Attendance Details document type is part of the Property Management Solution and is designed to manage the attendance records of security personnel. This document helps in tracking attendance, status, and relevant details for guards on duty. It is especially useful for property managers and security coordinators to maintain accurate and up-to-date attendance records for the security workforce.
1. Purpose of the "Security Attendance Details" DocType
The Security Attendance Details DocType allows users to:
Track security guard attendance: Record whether a guard is present, absent, or on their day off.
Capture guard details: Including employee ID, name, and position.
Record remarks: Provide reasons when a guard is absent.
This DocType is essential for maintaining clear and organized records of security personnel, their status, and any issues with attendance.
2. Key Fields and Definitions
The "Security Attendance Details" document contains several fields to capture necessary information about the guard’s attendance:
Guard EmpID:
- Description: A link to the Employee ID in the system. This uniquely identifies the guard based on their employment details.
Guard Name:
- Description: The name of the security guard.
ID No.:
- Description: This is used to record the identification number of the security guard (if applicable). This field is optional and hidden in the list view.
Position:
- Description: Describes the position or role of the guard within the security team (e.g., "Senior Guard", "Security Officer").
Status:
Description: The current attendance status of the guard. The available options are:
* Present: The guard is on duty. * Absent: The guard is absent from duty. * Day off: The guard is on their scheduled day off.
Remarks (If absent):
- Description: When the status is set to "Absent", this field allows the user to enter any relevant remarks or reasons for the guard’s absence. This field appears only if the Status is set to "Absent."
3. Document Management
3.1 Creating a New Attendance Record
To create a new security attendance record:
- Navigate to the Security Attendance Details document in the Property Management Solution module.
Click the New button. Fill in the following fields:
* Guard EmpID: Select the Employee ID for the guard.
* Guard Name: Enter the name of the security guard.
* Position: Specify the guard's role or position.
* Status: Choose the appropriate attendance status (Present, Absent, Day off).
If the status is Absent, the Remarks field will appear for you to enter the reason for the absence.
Save the document to log the attendance details.
